Duties of Officers
1. President
a. According to the Bylaws:
i. The President shall Chair all meetings of the Executive or of the Association.
ii. The President shall also be charged with the general management and supervision of the affairs and operations of the Association.
iii. The President together with the Secretary or other officer appointed by the Executive for the purpose shall sign all by-laws and other documents requiring the signature of the Executive or of the Association.
iv. The President shall be ex-officio a member of all committees.
i. Maintain communication within the executive - in person, by telephone, by e-mail.
ii. Respond to requests for information from outside the Association.
2. Vice- President
a. According to the Bylaws:i. The Vice-President shall, in the absence or inability of the President, perform the duties of the President and shall perform other duties required from time to time by the Executive.
b. Other activities:
i. May share signing authority on the general account.
ii. May have direct contact with the Royal Bank branch.
iii. May assist the President to share the job load.
3. Secretary
a. According to the Bylaws:i. The Secretary shall attend all meetings of the Executive and of the Association,
ii. Maintain accurate minutes of the same,
iii. Maintain a record of all members of the Association,
iv. Send all notices of meetings
v. And perform other duties required from time to time by the Executive.
vi. Any money received by the Secretary, such as annual membership dues, shall be turned over as promptly as practical to the Treasurer.
vii. The Secretary shall take charge of the seal of the Association, if any, until required by the Executive
viii. And shall hold all records and books of the Association.
ix. She or he shall allow any member of the Association to inspect the records and books of the Association upon request at a time and place convenient to the Secretary and the requesting member.
b. Other activities:
i. Keeping the schedule of shows as submitted by organizers.
ii. Negotiating the proper time spacing of shows.
iii. Filing and sending show application forms as required for approval.
4. Treasurer
a. According to the Bylaws:i. The Treasurer shall keep full and accurate accounts of all receipts and disbursements of the Association in proper books of account, deposit all moneys or other valuable effects in the name and to the credit of the Association in such depository as the Executive directs from time to time, disburse the funds of the Association under the direction of the Executive (taking proper vouchers therefore),
ii. Render to the Executive at its meetings or whenever required an account of all transactions and of the financial position of the Association,
iii. And perform other duties required from time to time by the Executive.
iv. The Treasurer shall hold all financial records and books of the Association
v. And shall allow any member of the Association to inspect the financial records and books of the Association upon request at a time and place convenient to the Secretary and the requesting member.
b. Other activities:
From the Bylaws: Other officers shall perform such duties as required from time to time by the Executive.
5. Area Representatives (to ADA Executive)
a. Attend ADA meetings and report information discussed and decisions made to the local group.
b. Take any questions or concerns from the local group to the ADA board for clarification.
c. To represent and communicate the needs, concerns and direction/vision of the local Association.
d. Promotes the objectives and needs specific to the area to the provincial organization.
6. Area Presidents
a. To be the primary representatives of each area.b. May send another member when unable to attend.
7. Casino Co-ordinator
a. As this is a new position (2002) it is in its infancy with a lot of room for creativity and development.b. Co-ordination of the five areas with respect to the casino:
i. The pre-event organization,
ii. The execution of the event
iii. The effective use of the proceeds
iv. Keeping current with the regulations from the Alberta Liquor and Gaming Commission
